Priava's Xero integration allows you to share information about payments and invoices between Priava and Xero in real-time, making it easier for you to reconcile payments between the two systems.
Only system administrators can configure Integrations. If you are not an administrator, please consult a member of your team that is an administrator to increase the level of access you have been granted.
Configuring the Xero Integration in Priava
To configure the Xero integration:
- From the Admin page, under "Integrations", select "Xero"
- You will be redirected to the Setup Wizard. There are seven parts to the setup, but you can save and exit the setup anytime and continue later if required
- On the "Step 1 - Connect to Xero" page, click
- The Xero login page will open in a new tab
- Log into Xero and click
- A message will appear when the setup has been successfully completed - this may take a few seconds to appear. Once complete, you can now close this tab and return to Priava
- Once complete, "Authorisation Complete" will appear under "Login To Your Xero Account" on the "Step 1 - Connect to Xero" page
- Click
- On the "Step - 2 Start Configuration" page, select the relevant Xero Currency, Xero Payment Account, Default Xero GL Code, Payment Received Item and Rounding Item
- Under "Advanced Setup" you can opt to "Configure GL Code Filtering." This is not a mandatory setup requirement but can be used to send all or part of the GL Codes from Priava to Xero. If required, click
and choose the relevant number of required GL Code characters that you would like to send from Priava to Xero
- Click
- On the "Step 3 - Tax Types" page, map the relevant Tax Types between Priava and Xero. Please note that:
- Only tax rates with the same percentage will be available for mapping
- One Xero Tax Rate can be mapped to multiple Tax Types in Priava
- If required, click
to update the Tax Type name in Priava to be the same as the Xero Tax Rate name
- Click
- On the "Step 4 - Tracking Categories" page, select relevant Priava Event Custom Fields to map against the Xero Tracking Categories. Please note that mapping tracking categories is not mandatory
- Click
- On the "Step 5 - Payments" page, you can select the relevant Xero Bank Details, Merchant Fee and Tax Type
- Click
- On the "Step 6 - Setup Sync" page, choose the items you would like to sync between Priava and Xero. You can filter the items that you need to send by clicking
- Click
- Before proceeding to the next step, we recommend that you test the integration in a Sandbox to ensure it is working as expected prior to activating the integration. If you do not have a Sandbox, please activate the integration and then monitor your initial transactions to ensure the integration is working as expected.
- To activate the integration, on the "Step 7 - Activate" section, provided you have tested the integration to ensure it is working as required, click
and you will notice the toggle on the screen changes to the
status.
Provided you have completed all the steps outlined above, you have now completed the configuration process and your integration is ready to use.
Inactivating the Xero Integration
To inactivate the Xero integration:
- From the Admin page, under "Integrations", select "Xero"
- On the Details page, switch the toggle status from
to "Inactive"
Removing the Xero Integration
To remove the Xero integration:
- From the Admin page, under "Integrations", select "Xero"
- On the Details page, remove your connection by clicking
